Question
What is the difference between "Trips" and "Logbook" in TRONITY, and how can each feature be used effectively?
Answer
Both sections initially provide an overview of your trips, but they differ significantly in features, use cases, and requirements.
Trips: Overview and Analysis
The Trips feature offers you a list of all recorded trips.
You can assign your own tags (e.g., "Kindergarten," "Sports," "Vacation"). With filtering options, you can quickly analyze the data. You can download the overview as an XLS export.
Trips are particularly useful if you want to flexibly evaluate your mobility and use your own categories.
Logbook: Legally Compliant and Standardized
The Logbook is also a list of your trips but takes it a step further:
1. To-Do Section
- Shows all trips that have not yet been categorized.
- Important because, under German tax law, each trip must be categorized within 7 days.
- After this period, trips are automatically marked as private and can no longer be changed.
2. Standard Tags According to German Tax Law
- Private
- Commute
Business Trip
These three categories are mandatory for a tax-compliant logbook.
3. Complete Trips:
- The system checks if your mileage is complete.
- If trips are missing, so-called empty trips are automatically added.
Types of Logbooks
You can maintain your logbook in TRONITY in three ways. Choosing one is mandatory:
1. Tax-Compliant Logbook (Germany)
Requirement: Categorization within 7 days. Only the 3 standard categories may be used. PDF export available, which can be submitted to the tax office.
2. Logbook for Fringe Benefits (Company Car)
Specifically documents commutes. PDF export shows a monthly overview per year. Can also be exported at any time during the year.
3. Logbook for Personal Documentation
Suitable for private evaluations. Check if the to-do section and export functions (only available in the Professional plan) are relevant for you.
